The school needs to raise money for new ICT equipment - The school councils have decided to put on a production of Grease at school over 4 nights.
You have been asked to use your ICT skills to help organise the production. There are a number of different tasks that you will have to carry out, and it will all need careful planning if you are going to be ready for the first night! Don’t let the Committee down, they are relying on you to do a great job (and so is your ICT teacher!) To begin with, read carefully through the pages of this website. They will explain all the things you need to do and what you need to think about to make the job a success. You will find any resources you need below. You should create a new folder inside your ICT folder for any Grease work that you create. |
Planning
_Before you start your work for this project, you need to have a clear
sense of where you are going, and what you will be doing. Below you will
find a basic planning sheet to help you get started on planning what
tasks and subtasks you will need to complete.
You could go further to create a time plan for your entire project - today will be the first day of your plan - you should identify:
- the date / lesson,
- what tasks you will complete
- any homework you will set yourself.
You can also identify checkpoints and contingency time that you may need to check your work over or go back to finish off work you may have needed more time for.

Research
Before you start any work, you will need to complete some research about Grease itself.
Some examples of things you could research for your work:
- Any images you could use for advertising work (posters etc)
- List of characters
- Information about the film / musical

Letter
Before the Grease production goes ahead, it's important to make as many people aware of the production as possible.
You should write a letter to parents telling them about your decision to put on a Grease production. You should use persuasive language to tell them why the production is such a good idea and give them reason to come. Remember this is a formal letter so you should consider how you set your work out. |
Advertising
One of your biggest jobs is to make sure the show is advertised! You will have to create promotional materials for the show otherwise no one will come! (They also won't come if your promotional materials aren't top notch!)
Whatever advertising you choose - you will have to explain: - What the show is - Who is putting the show on - When the performance will be shown - Where it is being staged - Ticket Costs You have free reign as to what promotional materials you will create - you could make: - Posters - Flyers - Newspaper adverts - TV advertising - Websites - Animations - Radio adverts You should think about the types of advertising you choose to create - some are more suitable for purpose than others! |
Tickets
Like all school productions, you will need a ticket that can be sent to the printer. Previous year's efforts have been dull, unprofessional and have given the audience a bad impression of the show quality. Your effort must be informative and visually appealing.
Your ticket should include all the information that your promotional material includes, and also the seat number. Your ticket should measure 14cm x 6cm. |
Finances
The dilemma now is - how much do we charge for tickets? (It's important that this is done before advertising)
The aim is to raise around £2,500 for new equipment - can you work out how much this would cost per seat? The problem:

Last year, bookings were done on a paper sheet. They printed out the sheet below and marked an 'X' in the seat that was booked. As seats near the front were more expensive than at the back, totals were then added up in people's heads to find out the amount raised each night.
The booking sheet was produced on a spreadsheet. Would it be possible to use a formulae to work out how much has been made? This would help reduce the mistakes made by people working things out themselves. If you put the right formulae in, whenever you add a '1' in a seat cell, it should work out how much money has been earned from each row. From this, you could then work out how much to charge. Below is the spreadsheet you will need. Make sure this is saved in your Grease folder. |

It is expected that an average of 80% of seats will be filled per night (160 tickets)
Front seats must be TWICE the price of the back seats

each other and are getting confused as to who is doing what!
One member of the production has suggested making a database and has set up a rough example of what he thinks can be included. However, now that he has done that, he's not quite sure what to do with it!
The database includes:
- Names and details of cast members
- Names of parent helpers who will supervise during the shows.
Auditions for Grease are still happening, so you will need to add the final details as its now your job to manage the information.
First of all, you need to:
- Create a data entry form. This means if you are off, anyone else who needs to enter or find information will be able to do so easily. This will need to be professional looking and easy to understand for the user.
- Add the new cast member details and helpers. You will find their information below for you to listen to or watch.
- Use the database to produce a Cast List showing just the actors and characters they are playing. This needs to be sent to the company printing the programmes for you.
- Use the database to produce a list of all the parent helpers which will include their full name and telephone number. Sort this by Surname.
- Use the database to produce a list of all backstage, sound and lighting people - showing their names, jobs, forms and telephone numbers.
